Your team: users and roles
Add a user
- Open the Users tab. The page is headed User Management. Press Add User.
- Under Basic Information, fill in First Name, Last Name, Email and a Password of at least 6 characters.
- Choose the Role. The menu offers only roles you are allowed to give: an admin can give any role; an owner can give every role except admin.
- For any role other than Client, a section called Dashboard Tab Access appears. Untick a tab to hide it from this person.
- Press Add User. You will see "User created successfully!"
PaidCal does not email the new user. No invitation goes out. Give them their email and password yourself, by phone or another channel you trust, and ask them to change it right away with Forgot Password? on the login page.
What each role can do
| Role | Sees | Can |
|---|---|---|
| Admin | Everything | Everything, including creating other admins |
| Owner | Everything except the ad calendar | Everything an admin can, except creating admins |
| Agent | Calendar, Messages, Meetings, Listings | Work with appointments, messages and services; cannot schedule meetings, cannot add listings, no Admin tab |
| Accountant | Lands on Admin › Accounting | Edit Accounting and Bills & Utilities; view the rest; cannot change users or settings |
| Client | Their own account only | Upload files, send messages, join meetings, see purchases |
An accountant cannot delete files uploaded by others and cannot open a client's account from My Dashboard. If a section your accountant should see is missing, email us; some viewing rights sit behind settings that are not in the form yet.
Remove someone's access
Setting Account Status to Inactive only changes a label; the person can still sign in. To cut access, either change their password (edit the user and enter a new one) or delete the user. Deleting is permanent and removes their data, so change the password if you may need the record later. PaidCal will not let you delete the only administrator.
Changing a role later
Viewing rights are set when a user is created. If you promote a client to accountant, for example, they may not see the Accounting section until we adjust their rights. Tell us when you change a role.
Good to know
- Two checkboxes, "Overview Tab" and "Plugins Tab", may appear in older builds; they do nothing.
- Only admins and owners can add or delete users. The form's wording says administrators only, but owners can too.
- Clients can also create their own account at
/register, unless you turn that off under Admin › Company › Client Accounts.
