Answer messages
Where messages come from
- The contact page on your site.
- The form on a service page (when Show Contact Form is on for that service). These arrive with the service name in the subject.
- The Messages tab in a client's own account.
Read and manage
Open Messages. The list shows the sender, a New badge until you open it, the email and phone as clickable links, the date, the subject and the first lines. Ten per page, newest first. Search covers name, email, subject and text; the filter offers All Statuses, New, Read, Starred and Archived.
The eye icon opens Message Details with the sender's contact details, the message, the service it concerns and whether they ticked the newsletter box. Opening a message marks it read. Other icons star, archive or delete it. Export All Messages downloads everything as a spreadsheet file.
Reply
There is no reply box inside PaidCal. Two ways work:
- Click the sender's email address in the list or the details. It opens a new message in your own email program.
- Reply to the notification email you received. Its reply address is already set to the client.
The client's answer comes back to your mailbox, not to PaidCal, so your email program holds the conversation and PaidCal holds the original request.
Draft with AI
The sparkle icon on a message opens the PaidCal assistant with the request "Draft a reply to this inquiry." It reads the message and the service it concerns and writes a draft in the client's language, English or Spanish. Copy it into your reply and read it before sending; it cannot send anything itself. The assistant needs to be enabled on your site, which is part of setup.
Who gets notified
Under Admin › Email:
- Notification Emails is the list of addresses that receive new-message alerts, comma-separated. Every admin and owner user receives them too.
- "From" Name, "From" Email and "Reply-To" Email are what your outgoing mail shows. BCC Email copies an address on everything sent.
- Send Test Email checks that mail leaves your site at all.
Under Admin › Contact Form you set the page title and intro, which fields show and which are required, the button text and the thank-you message.
Good to know
- You may receive the same new-message alert twice on some sites. It is harmless and on the list to fix.
- The client receives no automatic acknowledgement email; they see the thank-you message on the page.
- Archived messages disappear from a client's own message history as well.
- Only admins and owners can delete messages.
