Video meetings
Connect Zoom
You need a Zoom account with a Server-to-Server OAuth app, which we set up with you. In PaidCal, open the Meetings tab and press Zoom Settings. Turn on Enable Zoom Integration, fill in Account ID and Client ID, press Test Connection until it shows "Connected successfully", then Save Configuration. The client secret is kept on the server, not in this form.
Webinars need Zoom's webinar add-on on your Zoom plan.
Schedule a meeting
- In Meetings, press New Meeting.
- Choose Meeting (interactive) or Webinar (broadcast).
- Fill in Title, an optional Description that participants see, Start and Duration (minutes).
- Leave Waiting Room on if you want to admit people yourself. Turn on Cloud Recording to record to your Zoom cloud.
- Press Create Meeting. The form reports "Zoom meeting created successfully."
Each meeting in the list shows its status (Upcoming, LIVE, Ended), its Zoom number, and buttons to copy the join link, open it, start it as host, edit it or delete it. Deleting removes it from Zoom too. You and the other admins receive an email for every meeting created or changed; clients do not.
How clients join
Every active, upcoming meeting appears in the Meetings tab of every client's account, with the description and the passcode. For a free meeting the client presses Register & Join, which records them as a participant and opens Zoom. Clients never see your host link.
Because all clients see all meetings, use the description to say who it is for, or share the join link directly with the people you invite.
Paid meetings cannot be paid for inside PaidCal yet. If you set a Price, clients see a "Pay to Join" button that does nothing except tell them to contact you. Collect payment your own way (a payment link from an appointment works), then send those clients the join link yourself. Until then their account does not show the link.
Meetings and the calendar
A meeting is not tied to an appointment or a client. The Calendar shows a Zoom badge, with the join link and passcode, on events that fall on the same day as a Zoom meeting. If you hold two meetings on one day, only one shows there. The Meeting Format field inside an appointment is separate: it stores a link you paste, and creates nothing in Zoom.
If Zoom is not connected
You can still create meetings, but they have no join link, and Register & Join opens nothing for clients. Once Zoom is connected, each such meeting shows Sync to Zoom, which creates the Zoom side. An error mentioning "Settings → Plugins" refers to a page that no longer exists; the settings are under Meetings › Zoom Settings.
The Max Participants field is for your notes only; it is not sent to Zoom. The "Paid Revenue" figure on this screen adds up prices, not money received.
